Wizehire’s Cohorts and Campaigns work best when used together to engage with top candidates over time—whether they’re not quite ready to be hired yet, mid-process, or simply not the right fit right now. These tools help you automate thoughtful, timely outreach and keep your talent pipeline strong.

✅ Use Case #1: Follow Up with Candidates Who Need Licensing

Perfect for: Roles requiring certifications like Real Estate, Legal, or Insurance.

🏷 Step 1: Tag Candidates

During interviews, tag strong candidates who aren’t yet licensed with something like "Needs License."

👥 Step 2: Create a Cohort

Use the condition: Candidate has tag = "Needs License"

The Cohort will update automatically whenever you tag new candidates.

📣 Step 3: Launch a Campaign

Send a series of automated emails over time. For example:

  • 60 days after tagging:
“Just checking in—have you completed your licensing? Here's our Careers Page if you’re ready to apply!”

  • 180 days after tagging:
“Still interested in joining us? If you’re licensed now, we’d love to reconnect. See our latest job openings.”

🔄 Optional: Remove the tag once they're licensed so they stop receiving future emails.

✅ Use Case #2: Share Key Info Based on Hiring Stage

Perfect for: Automating interview prep or keeping candidates informed during the hiring process.

👥 Step 1: Create a Stage-Based Cohort

When building your Cohort, choose the condition:

Candidate in hiring stage = Qualified or Interview

These are dynamic—candidates automatically enter the Cohort when moved into the selected stage.

📣 Step 2: Build Campaigns Triggered by Stage Entry

Examples:

  • Qualified Stage (1 day delay):
“Thanks for applying! Here’s what to expect in our hiring process.”

  • Interview Stage (1 day delay):
“We’re excited to interview you! Here’s some info about our company culture and benefits to help you prepare.”

⚠️ Note: Campaigns cannot be triggered from the Disqualified stage. We recommend avoiding auto-emails for rejections.

✅ Use Case #3: Keep Top Talent Warm for Future Roles

Perfect for: Candidates who weren’t a fit right now, but showed great potential.

⭐ Step 1: Tag or Save Promising Candidates

Use the Save feature or tag them with something like “Top Talent” or “Not Right Now.”

👥 Step 2: Create a Cohort

Set your conditions to:

  • Candidate is Saved, or

  • Candidate has tag = “Top Talent”

This creates a pool of warm leads that updates automatically as you add more.

📣 Step 3: Launch a Nurture Campaign

Keep these candidates engaged:

  • “We loved meeting you! Even though this role wasn’t the right fit, here’s our Careers Page so you can stay in touch with new openings.”

  • “Still looking for your next move? We just posted some great new roles—come take a look!”

🔁 Dynamic, Ongoing Outreach

All of these Campaigns are dynamic—new candidates who meet your Cohort criteria will automatically receive the sequence of emails based on the schedule you set. No extra work needed.

These use cases help you:

  • Engage candidates automatically based on stage or status

  • Stay top of mind with highly qualified future hires

  • Turn “not now” into “next hire”

These tools help you nurture candidates over time, keep your pipeline strong, and make every connection count—all within Wizehire.
