How do I schedule interviews with candidates?

Learn how to schedule interviews in Wizehire using Scout, send invites, track responses, and automate reminders.

Overview

Scheduling interviews is faster and easier with Wizehire Scout.

You can send interview invites, track responses, and manage scheduling all from the Candidate Profile. Once your calendar is connected, Scout handles availability, reminders, and confirmations for you.


Send an interview invite via Candidate Profiles

  • Open the Candidate Profile

  • Click Schedule Interview

  • Select the interview type

You can:

  • adjust the duration

  • edit your availability

  • click Send Invite to email the candidate

You can also:

  • click Copy Invite Link to send the scheduling page manually

Invite top matches from your Talent Pool

Scout may recommend candidates from your past or other open jobs who are a strong fit for your current role.

Most of the time, it's recommended that you invite these candidates to apply to your job first, but if they're in the top 3% of matches, Scout may suggest inviting them directly to interview

  • These candidates are identified as top matches based on screening responses and DISC+

  • When they schedule, an application is automatically created for your job

💡 Helpful note: This feature is available on Essentials, Growth, and Concierge plans.


What happens next

Scout follows up automatically

  • If the candidate does not schedule within 24 hours, Scout sends a one-time reminder

Candidate selects a time

  • Candidates choose from your available time slots

  • They receive a confirmation email and confirmation screen

Depending on interview type:

  • In-person: includes address

  • Phone: confirms the hiring manager will call

  • Video: includes a meeting link


Track interview status

Once invited:

  • The button shows Scheduling in Progress

Once scheduled:

  • Both you and the candidate receive confirmation emails

  • The Candidate Card shows the scheduled time

  • Activity is logged in the Notes / Messages section


Make changes if needed

  • You can reschedule or cancel at any time

  • Candidates are notified automatically

  • Cancelled interviews are removed from the card and logged in Notes

Do I need to connect my calendar first?
Yes. A connected calendar is required for scheduling. See How to connect your calendar.

What if a candidate doesn’t schedule?
Scout will send a one-time reminder after 24 hours.

Can I send the invite without email?
Yes. You can copy the invite link and send it manually.

Will candidates be notified of any changes?
Yes. Candidates are automatically notified if you reschedule or cancel.
