Overview

When you move an applicant to the Declined stage, they are not automatically notified. You choose whether or not to send a message.

💡 Tip: Sending a short, kind note helps maintain your brand reputation with jobseekers.

How it works

  • No automatic notifications
Applicants won’t know they’ve been declined unless you send them a message.

  • Optional messaging
You can send a templated, but personalized email when declining, thanking them for their time or encouraging them to apply again in the future.

How to email applicants in the Declined stage

Here’s an easy way to reach out to applicants in your Disqualified stage:

  • Hover in the grey area to the right of the Disqualified title and check the box that appears to select all applicants.

  • Click the Email icon that appears underneath the job title.

  • Click Apply Template and select the Default Rejection template. Choose Manage templates if you’d like to create your own.

  • Click Send Message — and viola! The message will go out to the selected applicants.

Common Questions

If I decline someone by mistake, can I undo it?
Yes. You can move applicants back to a different stage in your pipeline.

Can I decline multiple applicants at once?
Yes. Use bulk actions from the Disqualified stage to send one message to several candidates.

Do applicants see the reason I declined them?
No. Only the message you choose to send is visible to them.
